Role Summary
Reporting to the Director, Communications and Stakeholder Relations, this role is primarily responsible for planning, coordinating, and delivering high-profile events that support Travel Alberta’s strategic priorities. These events are a key channel for stakeholder engagement, provincial tourism alignment, and showcasing tourism thought leadership, including by the President & Chief Executive Officer.
The Business Partner ensures events are well-organized, professionally executed, and aligned with Travel Alberta’s brand, messaging, and strategic objectives. The role works closely with the Stakeholder Engagement and Communications team, Destination and Commercial Development team, and Brand and Content team to ensure consistent integration of messaging and content across event activities.
This role also supports the preparation of materials for leadership participation in events and engagements and helps coordinate inputs required for briefing and presentation materials.
The position requires strong project management, planning, and coordination skills, with a focus on execution excellence in fast-paced, multi-stakeholder environments. Travel within Alberta is required (approximately 25%).
Key Responsibilities
1. Events Planning & Management (High-Profile Stakeholder Focus)
Lead the planning, coordination, and execution of high-profile events involving Travel Alberta’s executive team, industry partners, and external stakeholders.
Ensure events are delivered in alignment with Travel Alberta’s strategic priorities, brand standards, and approved messaging.
Manage end-to-end event logistics including venues, catering, AV, virtual platforms, transportation, and on-site coordination.
Coordinate vendors and suppliers, including contracts, service agreements, and performance tracking.
Support development and management of event budgets, invoicing, and procurement documentation.
Collaborate with internal teams to integrate content, messaging, creative assets and brand standards into event planning and execution.
Develop event materials such as run-of-show documents, agendas, presentations, and briefing packages.
Support on-site execution to ensure smooth delivery and positive attendee experience, including executive participants.
Evaluate event outcomes and document learnings to support continuous improvement.
Build and maintain working relationships with key stakeholders involved in event planning and delivery.
2. Content Integration & Brand Alignment:
Collaborate with internal communications and brand teams to ensure event content is aligned with Travel Alberta’s voice and visual identity.
Coordinate inputs required for presentations, event materials, and supporting documentation.
Support the development of event-related content including messaging, speaking notes, and visual materials.
Work with design and production resources to ensure materials are completed accurately and within deadlines.
Ensure consistency of messaging and content across all event touchpoints.
Support alignment between event objectives and broader organizational communications priorities.
3. Leadership Engagement Support:
Support the preparation of materials required for leadership participation in events and engagements.
Gather relevant background information and consolidate inputs from internal teams to support briefing materials and presentations.
Assist in formatting and organizing briefing documents, speaking notes, and supporting materials.
Ensure materials are accurate, complete, and aligned with established messaging and brand guidelines.
Coordinate with internal teams to support timely preparation of materials for leadership use.
Provide logistical and administrative support related to leadership participation in events.
4. Budget Accountability & Reporting:
Manage event budgets from planning through execution and post-event reconciliation.
Ensure compliance with Travel Alberta financial, procurement, and contracting policies.
Complete required financial documentation including purchase orders, contracts, invoices, and expense submissions.
Track expenditures and ensure alignment with approved budgets.
Support reporting on event outcomes, including costs, attendance, and operational performance.
Exercise signing authority within delegated limits for event-related expenditures.
Provide input into post-event reporting and recommendations for improvement.
Required Qualifications
1. Education and Experience:
- Degree in Event Management, Communications, Public Relations, Business, or related field, or equivalent combination of education and experience.
- Minimum of five (5) years of experience in event planning, coordination, or delivery within a corporate, government, or agency environment.
Experience supporting executive-level participation in events and engagements.
- Proven experience coordinating complex, multi-stakeholder events from planning through execution.
- Experience working with communications, brand, and content teams is considered an asset.

3. Other Requirements:
- Valid driver’s license and ability to travel domestically or internationally as required.
- Valid passport (NEXUS is an asset).
- Understanding of Alberta’s tourism sector is considered an asset.
